Master Your Deals: The New Property Tracking Workflow in Engage

Managing a property from the first handshake to the final signature just got a whole lot smoother. We’ve rolled out the Pipeline tab in Engage—a dedicated space to track every stage of a property’s journey. Whether you're validating a new lead or closing a high-value deal, this workflow keeps your portfolio organized and actionable.


🚀 Getting Started: The Pipeline Tab

You’ll notice a brand-new Pipeline tab on your dashboard. This is your mission control center.

It is divided into two key areas:

  • My Properties: Where the magic happens for listings and valuations.

  • My Applicants: Your hub for managing active leads and potential buyers.

🏠 Managing Your Portfolio

When you click into My Properties, you aren't just looking at a list; you're looking at a comprehensive database.

💡 Note: Use the horizontal stage bar at the top of the "My Properties" page to quickly filter properties by their current status, such as Valuation, In Review, or Reserved.

Each property profile is a "single source of truth" containing:

  • Owner Information: Direct contact details and history.

  • Valuation History: Track how the property’s price has evolved.

  • Engagement Data: Viewings, offers, and documents all in one place.

Need to make a change? The Update button is your best friend. From here, you can re-evaluate a price, create a new listing, or tweak the property's basic info.


📝 Step-by-Step: Creating a New Listing

Ready to bring a new property into the fold? Follow this streamlined path:

Initialize:

  • Click the "New" button (top right).

  • Search for the unit and location, then assign the owner.

  • Define Purpose: Select if the property is for Sale, Rent, or Both.

  • Fill in the enquiry details and select Add Property to proceed with creating the owner lead.

Valuation

  • Add the "Basic Facts" (beds, baths, type), amenities, and occupancy status.

Note: The system checks for any existing owner associated with the property and displays a message as shown below if a match is found.

  • Add the transfer date, purchase value, and owner documents, if available. These fields are optional.

    Click "Next"

The Valuation: You cannot list without a valuation.

Enter the sale/rent price, add your valuation notes and submit for valuation.

With this step, you have successfully completed the property valuation.

  • Choose the listing you want to create, then click Next Step to finish setting it up.

Next, the listing will be created using the same process as before.

Now, let’s return to managing your existing properties.


Hover your mouse over a property to update its details.

When you click on update, a menu of options will appear, allowing you to redefine its

purpose, reevaluate it, update details, and perform other actions.

  • Update the Purpose: Change how the property is handled. For example, if it was initially set for Sale, you can change it to Rent (or vice-versa).

  • Reevaluate Property: Update the price and valuation details.

    Note: If you change the property’s Purpose, you must reevaluate it before you can move forward.

  • Create a Listing: Once the purpose is defined and the property is reevaluated, use this action to generate the listing.

  • Update Property Information: Edit core details such as:

    • Bedrooms and Bathrooms

    • Built-up Area (BUA)

    • Amenities and features

  • Add a Note: Log a description of any activity or specific details regarding the property for future reference.

  • Add Custom Tags: Assign tags to group similar properties together for easier filtering and identification later.

  • Close: Exit the update menu and return to the property profile.

    Applicants — We've renamed Leads to Applicants. Your Applicants pipeline now shows only your Buyer and Tenant leads, keeping your deal flow focused and clean.
